1) What this covers

2) What data we collect for email

• Contact details: name, email address, company, role.

• Engagement data: whether you opened an email, clicked a link, or unsubscribed (via our email provider).
• Technical data: time sent/received, IP address and device info captured by the email service for delivery and security.

3) How we get your email

• You provide it directly (signup, waitlist, account creation, support contact, demos).
• Your employer shares it to set up a user account.
• You opt-in to marketing updates (newsletter or lead forms).

4) How we use email data

• Transactional/service: account creation, verifications/MFA, invoices, legal notices, security alerts, and important product changes.
• Support: responding to tickets and troubleshooting.
• Product & marketing (optional): newsletters, feature updates, invitations, surveys, and educational content. You can opt out anytime.

5) Legal basis (where applicable)

• Contract/legitimate interest: to deliver the service and keep accounts secure.
• Consent: for marketing emails. You may withdraw consent via the unsubscribe link or by contacting us.

6) Your choices

• Unsubscribe: every non-transactional email includes an Unsubscribe link that stops marketing messages.
• Transactional emails: you may not opt out of essential service or security messages while your account is active.

7) Sharing & processors

We use trusted email service providers and infrastructure vendors to send, track, and secure emails (e.g., cloud hosting, email delivery, analytics, customer support tools). These providers act under contract and process data only on our instructions.

8) International transfers

Your data may be processed outside your country (including the U.S. and Panama). We use safeguards such as contractual clauses where required.

We keep email logs and engagement records for as long as needed for the purposes above and to comply with legal/operational requirements. We periodically delete or anonymize data that's no longer needed.

We use administrative, technical, and organizational measures (access controls, encryption in transit, monitoring) to protect email data. No method of transmission is 100% secure.

To the maximum extent permitted by law, Harpy is not liable for indirect, incidental, special, or consequential damages arising from or related to email communications. Nothing excludes liability that cannot be limited under applicable law.

We strive to follow applicable anti-spam and privacy laws (e.g., CAN-SPAM, GDPR/UK GDPR where applicable). You can always unsubscribe from marketing emails via the link provided.

20) Governing law & contact

These terms are governed by the laws of Panama (conflict-of-law rules excluded), unless mandatory local law provides otherwise.
